1. Key Responsibilities:
A. Front Desk Management:
Handle the EPBAX (configuration Siemens, Avaya, etc)
Receive and screening the incoming and outgoing telephone calls at an EPBAX or multi-line phone.
Respond to routine inquiries from internal or external sources, for example on the organization location, hours of operation, phone numbers, or email address.
Receive couriers and fax and forward to the concerned person.
To maintain updated extension list and circulate the same among employees.
B. Visitor Management
Receive visitors so that all visitors are dealt promptly, courteously, and accurately
Greet visitors and determine the nature of their visit; maintain visitors log
Inform appropriate party of visitor arrival or direct visitors to appropriate office, department or employee.
Provide the visitor cards to the visitors
C. Administration Support
Perform miscellaneous administrative activities such as booking meeting rooms, arranging lunch for business meetings; typing, organizing and distributing mail; receiving and sending courier packages.
To provide the Job Application Form to the candidates who came for interview and forward the duly filled form to HR department
Distribute Food Coupons & Income Tax form to employees.
Format and send Corporate Communication to the employees.
Provide General Administrative and Clerical Support.
Send Birthday mails to the employees on behalf of HR department
Manage the Conference room booking for meetings.
Draft Bank Account opening Letters, Employee Verification Letters for Mobile Phone Connections
Coordinate with bank representative and get the Account opened for new employees
Prepare and send the monthly attendance , Fuel and Variable Inputs of the contractual employees to Team Lease and get the invoice processed and ensure timely release of payment to the employees
